Assigning Staff to Plans

Overview

You may want to assign specific staff members to events such as birthday parties, youth programs, top rope classes, yoga sessions, or other scheduled programs. Doing so allows customers to see the assigned staff member when booking through your Storefront and helps your team stay informed about who is responsible for each event. This article outlines three different methods for assigning staff to plans.

Plan Level

  1. Navigate to Build > Plans.
  2. Select the desired Plan.
  3. Click Schedule Spoke.
  4. Click Edit on the spoke.
  5. Go to the Default Staffing tab.
  6. Toggle Enable Staff Assignments to ON.
  7. In the Select customer field, search for the desired staff member.
  8. If the instructor is not listed, toggle Include customers in search to find their customer record.
  9. (Optional) Toggle Set Required Count if multiple staff members are needed and add any relevant Notes in the provided field.

This level of staff assignment is best used when the same person will be responsible for all sessions in the plan always.

Course Level

You can assign staff directly at the course level, which will override any existing assignments from the plan schedule.

  1. Navigate to the Course by accessing the course through the calendar view.
  2. Click the light blue "Edit Course" button.
  3. Select the Staff Assignment tab and toggle Enable Staff Assignments to ON.
  4. In the Select Customer field, search for the desired staff member.
  5. If the staff member doesn't appear, toggle Include Customers in Search to locate their customer record.
  6. Toggle Set Required Count if multiple staff members are needed and add any relevant Notes in the provided field.

This level of staff assignment is best used when the same person will be responsible for all sessions in the course or series.

Session Level

You can assign staff directly at the session level, which will override any existing assignments from the plan schedule.

  1. Navigate to the Session by accessing the course through the calendar view.
  2. Click the "Sessions" tab and choose "Edit Session" on the line item of the session to be assigned a staff member.
  3. Toggle Enable Staff Assignments to ON.
  4. In the Select Customer field, search for the desired staff member.
  5. If the staff member doesn't appear, toggle Include Customers in Search to locate their customer record.
  6. Toggle Set Required Count if multiple staff members are needed and add any relevant Notes in the provided field.

This level of staff assignment is best used when the a different person will be responsible for certain sessions in the course or series (such as rotating yoga instructors) or when a substitute needs to be swapped in for staffing needs.
