WORKFLOW: Inventory Counts

This workflow details best practices for maintaining accurate stock counts within Redpoint.

Overview

  • Recommended Method: Use Quick Count with a barcode scanner for speed and accuracy.
    • A Chromebook with a basic scanner makes the process simple and efficient.
    • Alternatively, use a long-range Bluetooth scanner while another team member monitors the system in real time to verify incoming scans.
       
  • Real-Time Quantities:
    Inventory On Hand quantities are dynamic—they reflect live stock levels and are not frozen when a count is created.
     
  • Keep Counts Manageable:
    Work with small product sets to stay organized. Complete counts promptly and avoid keeping the count screen open for extended periods. Since the system is web-based, save early and often to prevent data loss.
     
  • Deleting a Count:
    If needed, you can delete an inventory count. This will also remove any adjustments that were applied through it—similar to reversing a ledger entry.

Steps for Inventory Count

  1. Navigate to Products module > Stock Control > Inventory Counts

2. Select the blue New Inventory Count button and fill in the information.

  • Date/Time
  • Facility: Choose the facility being counted.
  • Count Type: Quick or Advanced
  • Reference: Any identifier that your facility would like to place here
  • Product Set: Pick brands, groups, vendors, accounts, individual products, or variants to be counted.
  • Memo: Internal note that you would like for future reference.

The Advanced toggle will allow you to filter inclusive and exclusive of certain groups or brands if needed.

3. Select the blue OK button to close the count.

4. Open the new count by clicking on the reference in the list.

5. Click Count Inventory.  All Products in the slice you created are shown in the list.

With Scan mode toggled ON, you can scan items and quantities will populate in the count column. You can also manually enter into the count column to add quantities.
 

Count as you scan to make sure the total scanned matches the total counted. Alternatively, have one person watch the screen while one person scans to ensure a scan results in a quantity added.

 


 

6. Click OK to save and review the count before making the final adjustment. 


This window displays the products that will have an adjustment. Click Edit Inventory Count to make any additional edits to your count.

Once you are satisfied that the count is correct, if adjustments are shown, click Create Adjustments to commit the changes for inventory.

 

 

Undo a Count

You can delete the Adjustment to undo this count.

On the Adjustments tab within that count, you can delete the adjustment.

 

 

Adjustments

Use Adjustments to manually update inventory levels for specific products you select—for example, adjusting for damaged or expired stock on hand, or a return to vendor.

To create an adjustment, go to: Products > Stock Controls > Adjustments

Steps:

  1. Select an Adjustment Type to specify the reason* (e.g., shrinkage, return to vendor, etc.).
  2. Add the relevant product(s) and enter the adjusted quantities.

Need to undo an adjustment? Simply delete the adjustment entry. This will reverse the changes and remove the applied inventory updates.

*Adjustment Reasons are configured in Manage > Organization & Facility Settings > Lists > Administrative Lists > Adjustment Types
