EXAMPLE: Punch Pass Configuration

Review the following steps to make a punch pass in Redpoint.

Enrollment Types

In this configuration example, we are recommending the use of a Fixed Contract Grant, meaning that regardless of enrollment count, the contract has a total number of punches - the enrollee count does not change the total punches issued at all, and all enrollees draw down from that same shared batch of punches.

Method 1 recommendation:

Make an enrollment type for the "primary" punch card holder, and create a separate enrollment type for additional people that they want added to the contract to share from the same batch of punches.

OPTIONAL: want only staff to be able to add additional participants (and not allow the customer to self-add at purchase?) Make this enrollment type Hidden on Storefront.

 

Method 2 recommendation:
Use one or more enrollment types with whatever min/max restrictions you want, knowing that no matter how many are on the contract, they will just get a fixed number of punches total for the contract (not per person/enrollee)

Why configure it this way? 

Because Fixed Contract Grant benefits can be set to auto-conclude, meaning you won't end up with a contract that has an  'active' status with a punch balance of 0. 

If this does not matter to your workflow and reporting (active punch contracts with a 0 punch balance), then using an Enrollee Fixed Grant - and granting a fixed number of punches to each enrollee on the contract DOES work.  If done in this way, each enrollee will be granted a fixed number of passes that are just for them (that they can share/not share as you allow).  It is not a shared batch of punches as it is with the fixed contract grant.  These contracts will expire per the expiration set in the pass dates spoke. If none is set there, the contract will not automatically expire.


 

Determine Check-in Amenity for Facility Access and Punches

Are punches shareable with others that are NOT on the punch contract? 

  • If no, punches can only be used by those on the contract, then you can use the same Facility Access check in amenity to grant their benefit. 

  • If yes, punched CAN be shared with anyone, then you need to make distinct check in benefit for your Punch cards such as Facility Access-Shareable

    Why?  Because if a punch card is shareable and it uses Facility Access (same as on other plans where it grants unlimited facility access, then ALL contracts with Facility access as a benefit could "buy" the share-a-punch pass. See below for the share a punch example and more info.
    In your Amenity list, make sure Facility Access Shareable is listed BELOW Facility Access


Create a Punch Pass Plan:

  • In the Big Edit menu > Enrollment Ranges tab

    • select the main punch card holder enrollment type to use and set it to a MAX of 1 (min 1 optional)
    • Optionally add second enrollment type for additional people and set min of 0 and max to your max limit

  • In the Pass Dates Spoke

    • Open Ended if punches never expire OR Relative date if expired x days/months/years from date of purchase. Example shown here shows that punch contract will expire 36 months from date of purchase.


  • In the Pricing spoke

    • use Standard Pricing and Contract Level pricing,

    • Use the Fixed amount for the main enrollment type.  Add nothing for the additional enrollment type (if applicable).  In this example, the punch pass is $250 total, regardless of how many additional member's are added (you set the max in enrollment ranges)


  • In the Benefits Spoke

    • Add benefit and select Facility Access or Facility Access-Shareable depending on your rules (review above for more info)

    • Facility Type:  if punches can only be used at single/some locations, set that here.  For example, select Contract facility if they can only be used where they were purchased.

    • Select Contract Fixed Grant type, Set the Quantity of Punches to issue, and set Fixed Grant Expiration to Contract End Date. This means punches expire when the contract expires. The punch pass contract expiration should be set in the Pass Dates spoke as shown above
    • Once saved, Set punches to auto-conclude.  This can only be done for Contract Fixed Grant benefits and will conclude the contract once the punches run out.  If not enabled, the punch card contract will remain active even if punch balance is 0 (until the expiration, if one is set)

 

Create a Share-a-Punch Plan (if punches are shareable outside the contract)

Now that you have a shareable punch pass plan created, configure the Share-a Punch Plan so that customers can actually share those punches. 

NOTE: Share-a-punch can only be sold in the gym (contract tokens cannot be used online).

 

**Make sure your punch is using Facility Access-Shareable, or some unique check in benefit specific to shareable punch access**

 

Create a Share-a-Punch Pass Plan

In Build > Plans > Plan List > Passes, add a new pass.

  • Enrollment Type Ranges - use any enrollment type you like and limit as needed.  if they can only share 3 punches at a time, set your max on the enrollment type here to 3.

  • Pass Dates spoke: this is like a day pass, set to 1 day of access

  • Pricing Spoke: Here you say that this pass requires one "punch" - one Facility Access-Shareable contract token to "purchase" it. 
    • Add Range to add a $0 product for the pass
    • Add Amenity Token Pricing and select Facility Access-Shareable as a REQUIRED token, qty 1.

      Reminder: If you select Facility Access here, ALL CONTRACTS with Facility Access as a benefit would be able to "buy" a punch!  Make sure you use the unique Facility Access-Shareable benefit here!



  • Benefits Spoke: Grant them Facility Access - Unlimited (just like your Day Pass). 
    They should not get facility access shareable because their share-a-punch pass should not be able to share-a-punch while active.  Facility Access Shareable should ONLY go on the Punch Pass Plan itself.

Add A Quickbutton at POS

Go to Manage > Organization & Facility Settings > Quickbuttons to add the PLAN to your Front Desk POS.

Test that it works - add a Punch Card Holder to the card, select share a punch, and try to sell it to a guest.  

 

WORKFLOW: Share-a-Punch

These can only be sold at POS because contract tokens, used to "purchase" the shared punch - they cannot yet be used online.

Make sure you have added the Quickbutton for the Share-a-Punch Plan.  Note that this can be done from POS OR from the Punch Card Holders Customer Record, on their Passes tab (click New Pass at top).  This workflow explains from the POS cart.

  1. Add the Punch Card holder to the POS cart, then click the share-a-punch plan button.

  2. Add the recipient of the shared punch as the enrollee

  3. The cart view will show the Amenity Token info in Green.
  4. Complete the transaction and follow prompt to check-in customer.
