Promotions Overview

Product Promotions

Product Promotions can be configured in 2 places 

  • Build > Promotions > Product Promotions. 
    Here you can configure promotions that will apply in the front desk card to Products - not contracts/plans.

  • Build > Plans > Amenities > Product Promotion
    Here you will configure promos on products in the front desk cart (not contracts) that will auto-apply when the customer has a contract granting them this product promotion benefit.  

Global Promotion Sort

Product Promotions can only be applied once per product - they do not stack.  The "first" discount wins and you control that heirarchy in Build > Promotions > Global Promotion Sort.  All product promotions, from Amenities and Build > Promotions > Product Promos are shown in this list.

You generally want to sort these highest to lowest so that the highest discount applies.  Test your promo after you configured it.  Remember to adjust the dates if it is date restricted.  

 

Contract Promotions

Configure contract promotions in Build > Promotions > Contract Promotions.  Contract promotions can be configured to apply to any plan, and to any products sold within the plan. 

 

Making a Promotion Active

After creating your promotion, make it active at one or more facilities. If you skip this step, your perfectly configured promo won't work!  Be sure the Private toggle is OFF so you can select multiple facilities.

 

Promotion Configuration Options

Select Product Promotion tab, or an Amenity product promotion to make a promotion that applies to products added to the Front Desk cart (ie, shoes, snacks, rentals, etc - not Day Pass Contracts.  Use a Contract Promo for Day Passes)

Select Contract Promotion tab to make a promotion that can be applied to a contract in the front desk cart, in the kiosk, and/or the web home storefront.

Add a new promotion and you will see the following configuration options as tabs in the config window:

Description & Label tab

Internal description and the label that will appear on the receipt.

Make sure the Private toggle is OFF otherwise you can only make it active at a single facility.

In Contract promotions, there is an additional Promotion Description that will display to staff and cusotmers when the promo code is applied.

Plan Selection tab(Contract Promos only)

Select the plans that this promo code can be applied to

Date Restrictions tab

leave as none to leave not restricted; dates set will restrict the promo code so that it only works within that date range.  Presents error to customer/staff if added outside date range.

Contract Promotions: optionally add expiration date to expire the promo code off of a contract.
If promo code is applying to a recurring billed contract, add an Expiration date to automatically expire the promo code on the recurring billed contract. 


Customer restrictions tab

Apply a customer segment to restrict a promotion to a set of customers.  The segment will check against the contract holder, or the person assigned to the cart when used in POS It does not check against enrollees.

 

Contract Promotions have the additional option of assigning a Customer Requirement to the promo code.  

When a customer requirement is used on a promo code, the customer requirement must have a resolution action of Attachment, otherwise it will not restrict the promo code.  It will let the customer use it and then flag them as invalid after the fact because there is no attachment "stopping" the use (Alerts if check in guard in use, can see in Manage > Configuration > Invalid contract promotions). 

For customer requirements without an attachment resolution action, use the segment above the requirement in the promotion settings here so both are enabled.  It is the segment that restricts the promo code from applying if the customer is not in the segment.


Codes & Redemption Limits tab

Product promotions can only be used in the cart

In Contract Promotions, you set whether these codes can be used on the website and or the kiosk. 

Show Code Usage in Customer Portal means that if this is a generated code, it will show in the customer portal when "issued" via an email automation.  

Fixed Codes

Fixed codes are set by you and can be configured to restrict usage per customer. Enter as many fixed codes as you want in a single promotion. 

Generated Codes

Generated codes can be exported and sent/distributed externally to Redpoint OR can be "issued" to customers via email automations.  Once generated, you cannot access that list of codes until it is redeemed.  Generated codes used in Email Automations are tracked on the issuing customer and the redeeming customer.

Restrictions 
Limit the number of times a customer can use a code and an expiration window.  If dates are also set on the Date Restrictions tab, that will further limit the usage.

 

Product triggers tab

Set the products that will trigger the discount here.  Products and/or purchase amount


Cart Discounts tab

Set the discount to apply here and what it should apply to.  Can apply to the products in the product trigger tab, other products, or to everything in the cart.

 

Making your Promotion Active

  • Product Promotion?
  • Amenity product promotion?
    • add it to a plan so a customer can use it if they get that benefit

  • Contract Promotion?
  • If being issued via email automation, ensure automation is active and check it to see if it is working and sending as expected.

 

Generated Promo Codes & Email Automations: issuing codes to customers

To use email automations in Redpoint, you must have the Sendgrid integration configured 

Go to Build > Notifications > Email Automations

Promo Code Replacement fields can be added into the email.  Your generated codes will appear labeled as {{promo:____:code}} and {{promo:___:barcode}} - add one or both.  A new code will be generated in each email that follows the rules configured on the promotion.  

This email automation issues the code to the customer, but unless there is a segment/requirement applying a customer restriction, the customer COULD share the code. All other restrictions apply.  The code is tied to the original recipient in the Promotion Code Log report.

 

View generated promo codes  issued to a customer

Generated promo codes are issued to customers via email automations. 

Once issued, you can view a customer's codes on the Benefits tab in their customer record. 

Customers can also view it from their customer portal IF the promotion has that toggle enables (toggle in Codes & Redemption Limits > Show Code usage in Customer portal).

To see usage history, go to Insights > Reports > Standard Report > Sales Category

To see Contract Promotions with customer requirements that are flagged as invalid (no longer meet the customer requirement) Go to Manage > Contracts > Invalid Promotions

 

To see active and frozen recurring memberships with a promotion code applied go to Manage > Promotions > Contract Promotions > Contracts with promotions 

 

Example Promotions

Waive Initiation Fee (Contract Promo)

Configure the Promotion in Build > Promotions > Contract Promotions 

Description & Label

Set to your liking.  The Staff/Customer facing description is an option here.

Plan Selection

Pick the plans that can get waived initiation fee

Date Restriction

Set dates to the date of the sale.  Promo code will only work when used between this start date/time

OPTIONAL: Expire the Promo Code in 1 day and it will drop off the contract.

Customer Restriction

None needed for a general sale

Codes & Redemption Limits

  • Enable code on web and kiosk storefronts.  Optionally show on customer portal.

  • Use a fixed code and market that code for customers to use.  In addition, you can put it in the plan presentation header text for customers to see it too. Optionally restrict it to single use, otherwise leave unlimited

  • Set additional restrictions if needed, but not needed since this is an unlimited offer for this time period.

Product Trigger

Limit to the Product set and add your initiation fee product(s) so it does not discount the dues and any other products being sold.

 

Cart Discount

Use a percentage discount of 100%

Discount Only the Product trigger items - meaning it will only apply the 100% discount to your Initiation fee product(s) on the Product Trigger Tab



Test your Promo

  • Your date restrictions will block it's use for you. 
  • You can test it by adjusting the date to include today, edit the codes tab and temporarily toggle off web and kiosk. 
  • Go to your customer record and click New membership on the membership tab.  Add your promo code and make sure it works on the initiation fee and is not hitting other products.  
  • Try it on a membership that should NOT have it applied (if there is one)
  • If all working, go back to the promo code config, adjust the date range back, and toggle back on the web and kiosk.  It is all set for use once that start date arrives!

 

20% off all shoes, for all customers, for 2 weeks (Product Promo)

To apply a discount to a set of products that always applies in the cart, you can create a product promotion with no promo code.  

Go to Build > Promotions > Product Promotions

Customer Restriction

None needed here - it's for all customers, so leaving the code blank means it will apply in the cart per the product trigger.

Codes & Redemptions

Leave promo code field BLANK.  Promo will apply without needing a promo code added. 

No other restrictions needed.

Product Trigger

Set Product Trigger to just the shoes revenue account (or product group - whatever captures the shoes that should qualify.

Cart Discount

Set the card discount to 20%, only items in product trigger.  This limits the discount to the products on the Product Trigger tab

Date Restriction

No dates needed - self limiting based on single use being emailed and expiring per settings in Codes & Redemption.

Customer Restriction

None needed here.  Single use code is limited to single use.  If you really wanted to prevent sharing of the code (which can only be used once)

Codes & Redemptions

    • Show usage history in customer portal ON
    • Use a Generated Code.  
    • Set max redemption to 1, expires in 7 days (assuming email issues the code to them on the last day of class.

Product Triggers

    • Buys the following products
    • Set to the Ropes revenue account or product group.

Cart Discounts

    • 20% discount - only items in the product trigger

Global Promotion Sort

On the Global Promotion Sort tab (Build > Promotions > Product Promos > Global Promotion Sort)

    • Check the sort order to ensure percentage discounts are ranked highest to lowest.  If the shoe promo is listed BELOW a 10% member discount, the member discount will block the 20% off!  Sort highest to lowest or per your business rules.


Configure the Email Automation

  • go to Build > Notifications > Email Automation.  Add a new automation and configure the settings to your needs.  

    • On the Email tab, Use the Promo Code Replacement field (search promo and you will see generated code options listed as {{Promo:___ code}} and {{Promo:___Barcode}}. The promo code barcode adds a qr code to the emailthat the staff can scan into the promo code field of the Front Desk cart.

    • On the Segment tab, select the Contracts/Enrollments constraint, add the Lead Class and select Ended, Relative date, start of day > end of day to send on the last day of the lead class. 

  • Save automation (can make inactive if not ready to release).  Will send in the early AM hours of that day to customers matching the segment filter and email rules. 

  • To test/preview your automation, Expand row to view grid and filter.  Set filter date to tomorrow to see what would send in the automation tomorrow early am.  If none, select a date that someone should be caught by your automation and see if it is there.   You can expand the customer grid row to view a preview of their email.  

  • Since this promo code configuration has the 'Show Usage in Customer Portal setting ON' it will show in the customer's portal in their benefits section once it is issued to them via the email.
