Features

Dashboard: Send Email Campaigns from Each Customer’s Home Facility

Create one campaign for multiple facilities and choose Customer’s home facility under Send from. Each recipient’s email uses their home facility’s sender name, email address, reply-to address, footer, and facility specific replacement fields.

 

Dispatches & Automations: Dynamic Facility Links for Email Campaigns and Automations

Organizations with multiple facilities can now use one email link with a different destination for each sending facility. For example, a “Purchase Membership” button can open the membership purchase page for the facility sending the email.

In the new Facility Links tab, enter custom URLs, select storefront destinations, or choose a shared plan to fill in each facility’s purchase link. Insert links using the Standard or Enhanced Designer, then check them in previews and test emails.

 

Contracts: Find Enrollments in Pending Validation

All enrolled customers on contract documents are now visible in the Enrollments column and searchable within the loaded results, without needing to hover.

 

Plans: Customer Updates Based on Question Answers

Question Rules can now update customer records based on specific answers, instead of applying the same update to everyone.

For example, you can:

  • Assign Bouldering proficiency only when a participant answers Yes to feeling competent to boulder independently.

  • Set a Needs supervision value when they answer No.

  • Record interest in beginner classes when someone requests information about lessons.

Combine multiple conditions, use segment filters, and choose whether to preserve existing values. For group agreements, each participant’s answers can update their own record.

Updates run once at activation, or at first staff acceptance when review is required. Later answer changes do not automatically revise those updates.

 

Plans: Auto-Conclude for Question Benefits and Enrollee Passes

Auto-conclude can now track all fixed benefits for an amenity, including extra punches added through question options and passes granted separately to each enrollee. On the plan’s Benefits page, select Configure Auto-Conclude → All Benefits for an Amenity Reach Zero.

With this option, the contract stays open until all shared punches and every remaining enrollee’s punches for that amenity run out. Nightly processing then sets the contract’s end date to the end of that day. Enrollees do not conclude individually when they use their last punch.

Existing single-benefit settings remain unchanged.

 

Benefits: Benefits and Ledger History in One Place

Find benefits from plans, question options, custom properties, and customers under View → Benefits. Active benefits appear by default, with filters to explore further. Expand any benefit to see its ledger entries, or browse activity across benefits in the Ledger Entries tab.

Access is controlled by the new Back Office → View Benefits permission.

 

Segments: Split Customers into Groups for A/B Testing

The new A/B Experiment Group condition lets you divide customers into 2 or more groups to test different offers or messages. Create a segment for each group using the same experiment key and group count. Customers stay in their assigned group each time the segment runs.

 

Segments: Control Plan Eligibility with Past Enrollment History

New Segment Condition for Prior Plan Enrollment allows you to create customer requirements for first-time offers, introductory memberships, and repeat pass purchases. Choose which plans count, set enrollment limits, and narrow the history to a period such as the current calendar month.

Requirements look back from each contract’s start date, so purchasing a plan doesn’t make that same enrollment fail its own requirement. First-time customers with no previous enrollments are included when eligible.

Only contracts starting on earlier days count; multiple contracts starting on the same day don’t count against each other.

 

Tags: Set an Expiration Date When Bulk Tagging Customers

When you bulk tag customers from a segment, you can now choose an optional expiration date for the tag. Customers tagged this way keep the tag until that date and then it's removed automatically.

 

Tickets: Export Tickets as PDFs

Save a ticket’s details, public and private conversation, and images in a PDF. Choose whether to include saved drafts, change history, and linked record summaries

 

New Reports

Sales Summary: New Sales Summary Grid and Tab in Insights Menu

Explore product sales by revenue account and sub-account, with subtotals and grand totals. Also available as a report.
• Choose Invoice Date or Accounting Date reporting, with the option to include tax.
• Expand products or totals to inspect individual sales, see customer details, and open invoices.
• Export the summary or displayed line items to CSV, or copy them into a spreadsheet.

 

 

Improvements

Customer Portal: Streamlined My Account Navigation

Memberships, bookings, and passes now appear together in one mobile-friendly list, making them easier to find and manage. My Account also offers a single Friends and Family page and a dedicated Settings and Preferences page for login methods and communication preferences.

 

Customers: Clearer Customer Attribute Expiration Dates

Customer editing now shows the calculated expiration date and time beside the effective date, with help text explaining how they relate. Expiration previews update when you change the effective date.

 

Front Desk: PIN Logout No Longer Waits for Receipt Dismissal

Staff using a PIN for a single sale stayed signed in until the receipt prompt was dismissed. Staff now sign out when the sale finishes, whether receipts appear in a modal or a non-modal notification. Receipt buttons remain available without another PIN.

 

Plans: Review and Restore Inactive Plan Benefits

Plan configuration now shows active benefits by default, with a status filter to include inactive benefits. Use Restore to reactivate a benefit while preserving its settings and ledger history. Edit and Delete are unavailable until the benefit is restored.

 

Plans: Target Customer Record Updates with Segments

Use customer segments to control when contract-level customer record updates apply and who receives them. Require the contract holder to match a segment, limit recipients to a segment, or combine both checks. Configure each update separately under More Options.

 

Dispatches: Clear Bounce Flags by Dispatch

A new Utilities → Dispatches → Clear Bounce Flag tool lets you clear customer bounce flags from a selected dispatch so those customers can be considered for future emails. Useful when a one-time issue caused an unusual number of bounces

 

Dispatches: More Accurate Email Bounce Handling and Delivery Details

Temporary email blocks and other delivery failures could previously mark a customer’s address as permanently bounced, preventing future emails. Now, only an invalid-address bounce from SendGrid adds that flag, while other failures remain visible in delivery reporting.

You can also fetch SendGrid message status directly from a campaign’s Delivery & Open Log to investigate delivery issues, with up to 30 days of history.

 

Benefits: Clearer Benefit Expiration History

New expiration entries appear on the day benefits expire, rather than being backdated to when they were granted. When multiple grants expire on different dates, each expiration removes only that grant’s unused credits—even if maintenance runs late. Existing expiration history stays unchanged.

 

Contracts: Spot Key Memberships in Manage Contracts

Key membership plans now show a star beside their name in Manage Contracts → Browse, matching the indicator in Plan List. 

 

 

Fixes

ACH: Fixed Two Paths that Could Overwrite Invoice Balances After an ACH Return:

  • Funding workers now process sources sharing a merchant sequentially, with a merchant lock preventing overlapping runs.
  • Saving an older invoice no longer rewrites unchanged money fields over balances updated by return processing.
Returned payments leave affected invoices unpaid and past due, with customer totals reflecting the debt. A failed payment source does not prevent healthy sources from processing.

 

Contracts: Guest Kiosk Attachment Uploads

Attachment uploads incorrectly required a signed-in account, blocking guests from submitting verification documents at kiosks. Guests can now upload these documents, and checkout assigns them to the intended participant or contract holder.

 

Contracts: Prevent Automatic Promotions from Blocking Waiver Signing

Automatic promotions could include agreements and block waiver signing by requiring a promotion code. Agreements no longer receive automatic promotions or undergo automatic-promotion checks at purchase, even when selected in a promotion. Manually applied codes remain supported for selected agreements, and signature requirements still apply.

Contract promotions also require an explicit plan selection. Existing unrestricted promotions are limited to memberships, programs, and passes; existing explicit selections are preserved, and empty selections must be completed on the next edit.

 

Contracts: Prepaid Freezes can Resume After Membership Expiration

Prepaid freezes were blocked when the resume date fell after the membership’s current expiration because the date restriction did not account for frozen time extending the membership. You can now submit these freezes, and the remaining prepaid time is preserved when the membership resumes.

 

Customer Portal: Keep the Kiosk Video Button Visible

The agreement video’s auto-close notice sometimes covered the “I’ve already watched” button because both appeared at the bottom of the screen. The notice now appears at the top, leaving the button visible and accessible.

 

Customer Portal: Fix Dashboard Labels Overlapping the Mobile Menu

Sales and check-in gauge labels appeared in front of the mobile menu, obscuring navigation links. They now stay behind the open menu.

 

Customer Portal: Clearer Guidance When Verification Texts Can’t Be Sent

Unsupported phone numbers previously triggered a generic system notice when requesting a verification code. The message now directs you to use a different phone number or email address when we can’t send texts to that number. Temporary sending failures prompt you to try again.

 

Customer Portal: POS PINs Respect Facility Login Permissions

POS previously checked permission to sell without checking permission to log in at the active facility. This allowed staff to become active through POS and then create contracts or perform other actions their role allowed. POS now requires facility-login permission when accepting a PIN, preventing this workaround.

 

Customer Portal: Clearer Calendar Availability, Including “Not Available Yet”

The calendar legend now explicitly calls out “Not available yet” for dates before booking opens, rather than grouping them with expired booking windows under “Unavailable.” Full dates and dates where booking has closed are grouped separately as “Full/Closed.”

Available and full dates could also look alike at red-branded gyms because both used red underlines. Available dates keep the gym’s brand-colored bar; waitlists use three brand-colored dots, and full or closed dates use three gray squares.

 

Customers: Prevent Customer Saves Without a Home Facility

Saving customer details could fail because the form allowed the home facility to be left blank. A home facility is now required before saving, preventing this error.

 

Customers: See Attachment Expiration Dates Before Saving

When adding or editing an attachment, you can now see the default expiration date set by its attachment type. Leave “Use a Different Expiration Date” off to use that date, or turn it on to enter a custom date. Help text explains which date will be saved.

 

Reports: Membership Report Refinements

Some ended or upcoming memberships could still appear in Membership Dues by Enrollment and Key Membership Metrics based on their membership status. Both reports now also check start and end dates to include only current memberships.

Membership Dues by Enrollment Report now keeps enrollments visible when pricing is unavailable, showing blank amounts and a Pricing Note instead of omitting the enrollment or showing an older price.

Front Desk: Customer Searches No Longer Retain Repeated Recent Customers

Customer searches could intermittently show repeated, unrelated customers above matching results because repeat check-ins or kiosk activity created duplicate entries in recent customer lists. Each customer now appears once per list, preventing those entries from lingering when staff search for someone else.

 

Front Desk: Gift Cards Excluded from Cart-Wide Discounts

“Discount All Items” previously included gift cards even though they cannot be discounted, causing a System Notice when selecting a payment method. Bulk discounts now skip gift cards, keeping their full value payable and preventing this checkout error.

 

Storefronts: Presentation Spoke Editor Now Defaults to Use Matching Poppins Font

Presentation markup editors now default to Poppins to match the customer portal.

 

Z Out Report: Custom-Payment Shortages Now Appear in Z-Out Reports

The “ZOuts - By Register and Day” report previously showed over/underages only for cash and checks, leaving custom-payment shortages invisible even when the Z-out recorded an adjustment

 

Related to
