Features

Check-in: Implemented a new, Customer Facing check-in/check-out screen.

Customers can now see their current status, check-in messages, and badge information displayed on a customer-facing check-in screen when they scan in.

Enable via Check-in (Module) > Check-in Settings (Button) > Customer Facing (Radio button)

New Permission added: defaults to Admin: Edit seat check-in configuration (on Check-in page) required at [GymX]


The Customer Facing Check-In Screen can be customized to display the following information: Exit Check-In only allows staff to view other modules. Check in will stay in Customer facing mode until a Staff PIN removes the Customer facing option.

Check-Out functionality is also supported, and will display status with an (Out) when scanning out.

 

Check-in: Customize messaging for missing benefit alert on Check-in.

Add a custom description to display when a benefit is missing, providing additional clarity for staff.

In Manage (Menu) > Organization and Facility Settings > Check-In Guards > Edit Check-In Guard > Edit Benefit_Rule Check-In Rule > Customize Missing Benefit Message (Text Box)

 

Contract: Bulk Update Contract Billing Dates and Cycles.

Added a bulk billing update tool that lets you update the next billing date and billing cycle (weekly/monthly) across active contracts. This tool can also be used to identify contracts that do not align with their plan configuration.

In Manage (Menu) > Contracts > Manage Contracts (Tab) > Bulk Recurring Changes (Tab) > Billing Cycle Changes (Tab)

 

Customer Portal: Apply Promo Codes via Booking URL.

Automatically apply a promo code to a customer’s booking by including it as a query parameter in the booking URL. 

 

Customer Portal: Automatically expand 'Show More' button in online presentation. 

Added a Toggle to the Booking Page Markup settings to auto-expand the 'Show More' section when viewing plan details.

In Build (Menu) > Plans > 'Edit' Presentation (Spoke) in plan Configuration > Booking Page Markup (Tab) > Automatically expand Show More (Toggle)

 

 

New Reports

Insights: New report to allow emailing of enrollment segments.

In Insights (Menu) > Reports (Tab) > Standard Reports (Tab) > Contracts (Dropdown) > Enrollment Segments

 

Improvements

Check-in: Display 'In Facility' Count from check-in Screen.

Added a new Toggle option in Staff-facing display Check-in Settings to display In Facility Count.

 

Check-in: Removed the PIN requirement for re-check.

In order to improve operational efficiency and consistency, we have removed the PIN requirement when re-checking in a customer.
 

Customer Portal: Invoice line items now display both discounted and original amounts when Contract Promotions are applied.

 

Customer Portal: Updated phone parsing.

Updated the library to include the latest phone number parsing information. Updated to allow saving additional Australian phone numbers.

 

Plans: Added a warning when an enrollment range minimum is set higher than the maximum value.

 

Plans: Added quick buttons when creating additional course sessions.

 

Plans: Prepaid recurring plans now require an end date for composite courses. 

Current default end-date settings are set to 'forever,' meaning the course will run indefinitely.

 

Calendar: Added a warning when canceling a course with multiple sessions.

Also re-worded the single session cancel help text to differentiate from course cancellation warning.

 

Contracts: Improved clarity in dues review grid.

  • Results now use the same language as the filters.

  • Each result is prefixed with its filter group.

  • Added color coding for alerts and failures (both shown in red).

 

Plans: Added direct linking to individual plans in the Build > Plans directory. 

Selecting a plan and reloading the page—or sharing the URL—will now retain and open that specific plan.

 

Contracts: Improved error message when course/contract end dates are mismatched.

Fixes

Contracts: Adjusting thaw dates no longer triggers system notice.

 

Calendar: Waitlist emails are now sent from the facility where they are waitlisted, not the  customer’s home facility. (edited 1/12/26 7pm PT)

 

Customer Portal: Phone number dropdown now displays appropriately when editing profile login.

 

Customer Portal: Cancelled sessions are now excluded from available start dates when booking recurring programs online.

 

Customer Portal: Fixed an issue where courses could fail to load when quickly scrolling between months.

 

Segments: Active enrollment now includes partially frozen customers.

Fixed an issue where customers who were partially frozen during the period were sometimes excluded from the Active (at any point in the period) enrollment status.

 

Segments: Enrollment segment column filters did not update correctly.

 

Insights: Removed time as a filter option on Check-in chart.

Time filter has been removed from the check-in chart to reduce confusion when viewing the grid of check-in data.
