Introduction
Many organizations terminate members once they have been past due for some numbers of days and not visited or updated their payment method. Terminating the contract means the customer will stop accruing a balance, but their existing balance will remain due. You can then take further action to write off, void or leave the balance past due.
Manage > Contracts > Bulk Recurring Changes > Bulk Terminate
The Bulk Terminate tool will allow you terminate contracts within a given set of Plans at a set of Facilities, limited by a Customer Segment.
Note: you will need to make a separate customer segment before you start.
Please read through all the steps first to make sure you have all the context before you begin.
What It Does
The Bulk Terminate process will complete three steps for each contract:
- Remove any future statuses (ACTIVE, FROZEN, or TERMINATE) for all enrollments.
- Create a new termination status for TODAY for all non-terminated enrollments.
- Update the contract end date as per the standard termination process. (termination emails will be sent during daily maintenance if configured).
Step by Step
The following is a 4 step process for executing a bulk terminate, plus a bonus step with a little reminder!
Go to Manage > Contracts > Bulk Recurring Changes > Bulk Terminate
Step #1: Select your Plan, Facility, and Customer Segment
Click Generate New Bulk Terminate Operation to view the contracts that match your selection. This will not terminate anybody at this step.
Step #2: Move Available Enrollments to Change Queue
Create a change queue by selecting from the available enrollments and clicking Add Contracts to Change Queue.
Step #3: Review Change Queue
Select the Change Queue tab and review the totals. If you see some customers you want to remove, you may use the checkboxes and select Remove From Queue to remove them from the queue.
Perform your final sanity check as the next step will terminate the contracts.
Step #4: Add a Termination Reason
Once you are ready select Execute Bulk Terminate.
You will be prompted to add a termination reason as shown below. If you do have any termination reasons set up, you may set them up in Manage > Organization & Facility Settings > Lists > Contract Related Lists > Staff Facing > Termination Reasons.
NOTE: If you wish to add a special reason for this particular business operation, we recommend you make this list item active just for a short time while you make perform this action. Afterwards, you can return to make the reason inactive again so your staff do not accidentally select this reason.
Note: Once you click OK you will have one final prompt before the termination executes.
Step #4: Execute Bulk Terminate Operation
In order to help identify customers affected by the bulk operation, they will be tagged using a unique tag. It's not a bad idea to write this tag down if you are unsure about this process. This is your final step. Once you click OK, the terminate operation will begin.
Step #5: All done
Nice work! Don't forget to make that Termination Reason inactive again if you do not want your staff to select it!
