Overview
This article covers how to make bulk pricing changes to your recurring billed contracts.
Membership contracts are in one of two pricing states - they are either:
- "on the plan pricing" : meaning they match the pricing set for the plan and are "tied" to the pricing rule
OR - "on custom dues." : meaning they are set up at a custom rate that is not tied to the pricing rule.
Changing the pricing configuration on a plan does NOT change the pricing on existing contracts.
Bulk Change Options
Manage > Contracts > Bulk Recurring changes are where these options can be found:
- Bulk move people on old plan pricing to the new plan pricing
- Bulk move people on custom dues pricing to the plan pricing
- Bulk change custom dues to new custom dues amounts.
**You currently cannot move people in bulk from plan dues pricing to custom pricing
Contracts "On Plan Dues" and Pricing Spoke changes
When you change the pricing on your plan, the price of current contracts does not change, BUT contracts on the plan pricing look like this when you click Edit Membership - they are prompting to accept new pricing per the new pricing rules.
This state is ok - they will still bill at their current rate - but if you want to make any other edits to the contract, you have to either move them to the new plan dues OR set custom dues to keep them at their current rate. This can be a confusing state for your staff who may be trying to make an unrelated edit, therefore we recommend you always update your existing contracts when you update the plan pricing.
EXAMPLE: Change Plan Pricing AND Update Existing Contracts to Plan Pricing
With this example, all new contracts will be sold with the new pricing and existing customers will be changed to align to the new plan dues either immediately or in the near future.
1 - Create a new pricing spoke.
Duplicate the existing spoke (arrow menu next to Edit); Leave it in Draft mode while you edit it.
Alternatively, you CAN edit the pricing directly in the active pricing spoke. This will make the new pricing active for new sales immediately and you can proceed to step 3 to change existing contracts. This is only recommended if your pricing is relatively simple. For complex quantity rules, we recommend working on a new spoke.
2 - Make the New Pricing Spoke Active.
Once the new pricing spoke is active, new contract sales will use this pricing, and existing contracts on the plan pricing will reflect a suggested edit to the pricing.
If you want to leave existing customers on old pricing long term, consider some of the Legacy options below. If you do not proceed with step 3 after making a new pricing spoke active, then any other edit you make to a contract (adding a member or removing a member, etc) will require that you accept the new pricing and then apply custom dues to keep them at their existing rate.
3 - Bulk Change Existing Contracts to the New Pricing
- Go to Manage > Contracts > Bulk Recurring Changes > Plan Dues Changes
- Set the plan type, location and plan
- Select All for Enrollment Type Combinations
- Leave Custom Dues toggle OFF to see those on the plan dues.
- Apply Filters. Review how the dues change will impact each contract by sorting on the difference column
- Select all and adjust by unchecking any contracts you do not want to include in the price change
- Add to Pricing Queue
-
Go to the Pricing Queue tab and review the change.
To remove people from the change queue, check the box and select Remove from Queue. If all looks good, execute change. All in the queue will be changed
9. Go back to step 3 above and click the Custom Dues toggle on. Apply filters and review your custom dues. You can select any to change to the plan dues then proceed with steps above to make the change.
To bulk change custom dues to new custom dues, see this example below
4. Checking for missed changes
Manage > Contracts > Dues Review > Filter for Warnings and alerts and see if you have any not matching plan dues.
5. Bulk Update Custom Dues > Custom Dues
Handle custom dues contracts with one of the following options:
Go to Manage > Contracts > Bulk Recurring Changes > Custom Dues Changes
- Set filters for Plan(s) location or leave all selected
- Click Generate New Bulk Custom Dues Operation - this will load all your custom dues enrollments in the window.
- Assign Mapping (ie, $20 > $25, $30 > $35, etc).
- Click Generate New Bulk Custom Dues Operation again to preview how the mapping impacts the enrollment prices.
- Once satisfied with mapping, Select all and add to change queue, go to change queue and execute (similar steps to the plan dues change above).
Legacy Pricing Methods
Legacy pricing keeps existing contracts at current rates while charging higher rates to newly sold contracts. There are two ways to manage legacy pricing in Redpoint:
- Make a new plan to sell plans with your new pricing and keep legacy pricing in it's own plan (recommended for ease of tracking and managing pricing).
- Use advanced pricing rules in the pricing spoke to make pricing rules based on the contract start date (this is a bit more complex and can create it's own challenges depending on your imported data)
Remember, you can't currently bulk move people from plan dues pricing to custom dues, so if you change your pricing configuration and do NOT bulk move those on plan dues to the new plan dues, you will leave your contracts in this state.
