Once you start selling your plan and have active/confirmed contracts in this plan, read the following before changing an enrollment type - if not done exactly as indicated below, you may end up needing to manually edit all of your contracts!
For Prepaid Plans
If you change enrollment type on a prepaid plan, you need to manually edit each contract, or leave them as-is and only change when needed (if you edit the contract for any reason, you need to change it to save). For this reason, it is not necessarily recommended.
- Edit Membership/Booking and go to Customers tab
- Remove them from the now old enrollment type and add them in the new type. Once removed, you can find the customer on the Recent on Workstation tab in search.
For Recurring Billed Plans, follow this process EXACTLY
Step #1: Make the NEW enrollment type and toggle on the Hide from all storefronts (toggle ON).
Make sure this enrollment type is distinct by name so you can identify it easily through the following steps. once done you can always come back to edit the exact name.
Step #2: Go to Big Edit on the Plan and to Enrollment Ranges tab.
Add the new enrollment type to the plan. Since it is hidden, it is not yet visible online to customers.
DO NOT REMOVE THE OTHER ENROLLMENT TYPE YET!!!
Step #3: Edit the Pricing spoke and add pricing for the new enrollment type (both dues and startup!)
DO NOT REMOVE THE OTHER ENROLLMENT TYPE PRICING YET!!!
Step #4: Go to Manage > Contracts > Bulk Recurring Changes > Enrollment Type Changes. Select the Plan and Move everybody in the old type to the new type
- Generate New Enrollment Type Change Operation and Review the changes that will be made if executed, and select all if ready to change (select all and uncheck any you want to leave).
- Add Enrollment to Change queue, and go to Change queue tab to execute the change.
- After Executing the change, if any customer/contracts fail, they will stay in this queue. Successful changes are cleared from queue. All will have tag that you can query with customer segments - note this tag in the alert that pops up.
Step #5: Back in Enrollment Types tab, Change the new enrollment type to be visible (toggle OFF). Now both are on the plan for a moment
Step #6: Go to Build > Plans and Remove old enrollment type from plan. it is now removed from the plan.
Step #7: Edit pricing spoke and Remove old enrollment type from pricing
Step #8: Edit the name of the new enrollment type if needed (ie, if you added a character to distinguish it from the old enrollment type, that can now be removed).
