EXAMPLE: Group Event / Party Program Plan

This article walks through an example Party Program Plan, where the booking customer will book for a quantity of people, but they will not provide their names or info at booking.

 

Here are some specific settings to use for this plan:

 

Create a Group Management Profile

This will allow the contact holder to send out a link to the waiver (and any other required docs) to participants and keep track who has submitted a document via that link.

In the Plan Big Edit Settings

General tab

  • Allow Unassigned Enrollment Slots: With this ON, the contract will be booked for a total number of enrollees - the enrollees names and info will not be provided at booking.

  • Has Public Contracts: Toggle on to keep enrollee info private to other enrollees.

Enrollment ranges tab

  • Set minimum at 0 or 1, and set max to the group event max.  If you have a minimum price, ie the first 5 are $250 then there is a per enrollee price after that, still keep min at 0 or 1 and use the pricing rule to configure this piece.

  • If you allow custom events to be booked over your general booking limits, set the highest possible range as the max here.

 

Calendar tab

  • Custom Course toggle: toggle on to allow custom course creation if you want staff to be able to create this plan type as a custom event from the calendar module.

  • Leave toggled off if you only want courses to be created from the Schedule Spoke within plans

Group Management Profile tab

  • Add the Group Management Profile you made here.

 

 

In the Plan Configuration Spokes

Schedule Spoke

AND/OR

  • use Custom Events button in the Calendar module to add courses to the calendar.  Custom events can be included on the "public" storefront for the plan or excluded - set that in the Presentation Spoke

  • Asset Schedule tab: Apply any asset schedules as needed

 

Pricing Spoke

  • Use Contract Level Pricing - this allows more flexibility with adjusting pricing because there can be a fixed rate AND it condenses things into one line item.

  • Edit Range and use the Variable amount to set a per-person price

  • Have a flat rate for the first 5 and a per person price above that? Example below shows:
    • Fixed amount of $240; Variable amount of $0 for Range 1-5
    • Fixed Amount of $240; Variable amount of $40 per person 6 and up for Range 6- Infinity

 

Booking Limits

  • Max Contract of 1 limits the booking to just one contract, so once one group books it is closed to more bookings.

  • Optionally set an enrollee limit.  Reminder that you can also set booking limits on select courses - click Edit Course at the top of the course window.

 

Presentation Spoke

  • If you want your Custom Events to show on the public storefront (assuming you have the plan added to your web storefront and/or have it linked on your website), toggle this on. 

  • Leave off to keep Custom Events to staff view and the booking customer view.  Even with the toggle off here, you CAN still send the customer the course link to make their booking

 

Course Link and sending it to Customer to book

  • Open any course on the calendar to get that specific course's link

 

  • This link will get the customer directly to this exact course date and time to book it. 

  • Custom Courses and the Public plan calendar view?
    • Custom Courses can be displayed on the public calendar if enabled for the plan (see toggle setting in the Presentation spoke of the plan).  If toggle is off, custom courses will be hidden from public view.
