EXAMPLE: Guest Pass Configuration

1. Make a Contract Token Amenity

Guest Passes rely on Contract Token Amenities

Go to Build > Plans > Amentities.  Amenity Type = Contract Token

This is the amenity you will add to your Membership Plans to give them their guest passes.  The name displays to both customer's and staff.



 

2. Make an Enrollment type for the Guest Pass

If you don't have an enrollment type you can use, make one in Build > Plans > Enrollment types

3. Make the Guest Pass Plan

Go to Build > Plans > Plan List >  Passes > +Add New Pass 

This is a plan you will only sell in gym (contract tokens cannot be used online yet!).  Configure the following:

1. Big Edit Menu

Click Edit to the right of the plan title

  • Assign a badge (optional)
  • Set Contract Facility Transfer Policy to Ignore
  • Enable the locations this plan should be available on the facilities tab
  • Select the enrollment type to use on the enrollment ranges tab

 

2. Pass Dates Spoke

  • Set so that the pass is valid for one day.

3. Pricing Spoke

  • Standard Pricing
  • Add Ranges in the Enrollment Level Pricing section
  • Edit Ranges: Add product, set to $0
  • Edit Amenity Token Pricing: Select the Guest Pass Amenity, make it required.

4. Benefits Spoke

  • Add Benefit
  • Grant Unlimited Facility Access - it will give the guest facility access for the day (the contract term set on the Pass Dates spoke.

 

4. Grant Guest Passes to your Members

Go to the membership plan that should receive guest passes.

On the Benefits Spoke > Add Benefit

  • Select the Amenity you used in the pricing spoke of the Guest pass 
  • Enrollee Period Grant will grant it to each enrollee on the contract.  
  • Set the period for a new token to be granted.  Tokens do not accrue.

 

5. Add A Quickbutton at POS  

Go to Manage > Organization & Facility Settings > Quickbuttons > Add Guest pass PLAN.
 

6. Test it!

1. Go to the front desk cart and REFRESH to get quickbutton to show

2. Add a customer with that benefit to the cart

3. Member is the contract holder, add the guest as the enrollee

4. Amenity token count - current and after transaction (or insufficient) is shown in the cart

 

NOTE: you can also "sell" a guest pass from the member's customer record > passes tab > new pass button at the top of that tab page.  Save Draft, Open Member in Cart (at top of customer record) to complete.

 

 

7. "Undo" a guest pass purchase

There is no "undo" but you can do the following to "return" the guest pass:

  1. Cancel the Guest Pass Contract


     
  2. Give the Member their token back
    • Expand the benefit 
    • Edit the deduction entry
    • void the entry. 
      (Permission needed: Create/Edit Manual Benefit Credit/Debit)
