Attachment Types: Pending Validation Option

Overview

Attachments—such as waivers, student schedules, or other submitted documents—can be configured to require validation.

When validation is required, the attachment will appear in the Pending Validations tab within the Contracts Module, and the associated contract will be flagged as Pending Attachment Validation.

If an attachment requiring validation (e.g., a waiver) is generated by the Document Spoke of a plan, the associated contract will not update the customer’s record until the attachment has been validated.

This ensures that key documents are reviewed and approved before any changes are applied to the customer's profile.

If the attachment pending validation is something submitted by the customer as part of a Customer Requirement, the contract will alert as missing the Customer Requirement until the attachment is validated.  

Configure Attachment for Validation

Go to Manage > Organization & Facility Settings > Attachments

Edit the attachment to see the Staff Validation tab.  There are 3 things to set here:

  • Toggle ON to require validation. This will put the attachment in the Pending Validations tab in the Contracts module awaiting acceptance/rejection.

  • (Optional) Enable permission requirement to be able to validate. If on, staff will need to associated permission to validate this attachment.

  • Validation Instructions are presented to staff in the validation window

Customer View: New sign ups and Required Attachments

  • New Online Sign ups will require the customer upload a document in order to proceed. If configured, the attachment will land in the Pending Validation queue, where staff must accept it to be valid for the requirement

  • New Kiosk sign ups do not require the attachment be uploaded. They can simply proceed without upload. You can use an Email Automation to send them a reminder in a few days.

Customer Portal and Uploading Attachment

Customer can upload the attachment via their portal.  An alert appears on their main summary page.  Once uploaded, it will land in the Pending Validation queue if applicable.
