Asset Schedules allow you to create schedules and restrictions that apply to your plans.
For example, you can create an asset schedule for your gym hours and apply that to all plans so that if a recurring schedule falls outside the gym hours, such as a holiday closure, the asset schedule would remove either a session or the entire course, depending on your configuration.
Creating an Asset Schedule
Go to Manage > Plans > Asset Schedules
See Below for example Asset Schedules
NOTE: Custom Courses do not respect Asset Schedules..
Schedule Tab
- Add time based restrictions to the schedule tab.
- You can either set the days/times you want to allow (and leave all except active toggle off in the Options tab)
-OR-
Set days/times to disallow and use the Exclude toggle in addition to the active toggle on the options tab
- The schedule tab can be left BLANK with only the Options tab in use.
Options Tab
-
Active toggle - if off, this asset schedule will not apply to the programs it is assigned to.
- Use the 'Is Exclude' toggle if the dates on the schedule, or the restriction applied by the other toggles should exclude other competing programs (the ones assigned this asset schedule)
-
Consumption Shared Across Org - when on restriction applies across locations if the plan is available across locations.
-
Restrict Concurrent Contract Count - restrict total contracts across plans by setting a restriction here.
- For example, if 3 different programs run at the same time, and once one is booked by one contract, the others should be blocked, then I'd restrict to 1.

-
Restrict Concurrent Enrollment count - restrict total enrollments across plans by setting a restriction here.
- For example, two plans at the same time can only have a max of 20 combined enrollees, toggle this on and set to 20.

-
Restrict overlapping booked sessions - use this to block another program or session from being open to book once another has bookings. With this option, only the booking limits restrict actual contract/enrollment counts.
- For example, I have two programs at the same time, but once one has a booking the other should be blocked. The plans booking limits apply (unlike the toggles above that restrict on contract and enrollment count.
Applying Asset Schedules to Plans
After making an Asset Schedule, apply it to plans on the Schedule configuration spoke of the plan, on the Asset Schedules tab.
Multiple Asset Schedules can be applied to plans.
Asset Schedule Filter Mode
Filter Course vs Filter Session is an important distinction for multi-session courses.
-
Filter Course will remove ALL sessions of a multi-session course if at least 1 session is excluded by an asset schedule
- Filter Session will only filter the impacted session, but other sessions will remain on the calendar.
Example Asset Schedules
Gym Hours
Create an Asset Schedule for your gym hours by creating recurring rules for your hours for each day of the week. Add Holidays first and then general hours at the end.
Rules can be dragged and drop by click/hold the color sidebar.
To add holidays where you are closed, add the date (either fixed or a recurring rule) and DO NOT add hours. Check the calendar preview to ensure it is empty
On The Options tab:
Assign asset schedule to your plans on the Schedule spoke of each plan.
All additional toggles can be left OFF
Be sure to set the cancel course or cancel session correctly depending on the plan type (for multisession plans).
Optional: Make a Holiday Hours in addition to Gym Hours
You might prefer to have standard gym hours on one asset schedule and holidays on it's own asset schedule. One way to do that is to make a schedule of your holiday hours (12am-11:59pm to block the whole day) then use the 'Is Exclude filter on the Other tab
When someone books into a course, close another course at the same time
1. Leave the Schedule Spoke blank
2. Options Tab
- Active ON
- Is Exclude ON
- Restrict Overlapping Booked Sessions - ON - 1
